Monday, Wednesday, Thursday – 8:00-5:00
Tuesday – 7:30-5:00
Friday – 8:00-4:30
Primary Responsibilities and Duties:
Open the office and be prepared and ready to work at promptly 8:00 a.m.
Maintain a neat and tidy reception area.
Maintain voicemail daily.
Receive and greet incoming clients and visitors in a friendly and positive manner.
Maintain email and monitor the daily calendar for all staff and attorneys daily
Answer incoming calls in a timely, polite and professional manner.
Accurately direct incoming calls to the appropriate staff courteously and professionally
Promptly deliver accurate phone messages, with call back numbers, area codes, client names,
and promptly relay messages to proper staff member.
Manage, sort and deliver incoming mail. Prepare and organize outgoing mail for pick-
up/drop-off or courier
Responsible for opening new casese with the firm including, but not limited to, data entry
and verification of client information into Practice Master/Tabs3 as well as scanning of

Manage the conference room schedule, inform participants when necessary and maintain the
necessary stationary and equipment used in the conference room.
Close client files
Provide secretarial support to all staff members and attorneys when necessary. This
includes, but is not limited to, preparation of correspondence and documents, updating
software systems and databases, organize mailings, scheduling and follow up of consultations
and appointments, running conflict checks, photocopy, scan and fax documents, file
